Generate detailed notes for the Long-Term Debt or Leases portions of your financial statements automatically from your debt profile in preparation for your financial reporting.

You can access the Reporting section at any time by selecting REPORTING from the top dark blue navigation bar.

Underneath the navigation bar you will see two options: Payments and Notes.

When you select Notes for the first time you will see a blue button in the upper right of the screen that allows you to create notes.

Once you click on that tile you will be taken to the Create Notes modal where you will choose:

  • The title of your new report,

  • The profile to use for the notes will be generated

  • On which date the fiscal year ends for this report

(NOTE: Most clients only have one profile, however larger conduit issuers often have multiple subordinate issuing entities for which they are responsible.)

You will then be shown a list of obligations that were issued in the fiscal year requested for the report.

Below that list you will be asked a couple of questions to confirm that all issues and refundings have been updated in DebtBook.

If you select yes on either one of these questions, DebtBook will still generate the report. However, the following alert will appear at the top of the page directing you to contact Client Support to update your profile with the necessary new issues or refundings.

When you select the blue Create button at the bottom of the screen you will be presented with the option to either download the report or view all notes.

If you select download a formatted excel export will download to your computer.

If you select View All Notes, you will be taken back to the Notes to the Financial Statement page where a new tile is created for the report you have generated.

From this page you can download any report generated, delete any reports that are no longer needed or create new reports.

The excel export is designed to meet GFOA Certificate of Achievement in Financial Reporting Standards and consists of two primary report components:

  • Summary of Debt Outstanding by Type

  • Roll Forward Table

The Summary of Debt Outstanding by Type

This component has 3 parts:

  • Description of outstanding Issues. This is a narrative description of each obligation that is outstanding for the given type of security that is programmatically generated based on the information already in DebtBook.

  • Table of outstanding Issues. This table breaks the issues into Governmental and Business Type activity's and identifies the issue description, Closing Date, Maturity Date, Interest rates outstanding, Original Issue Amount, Outstanding Amount, The Fund from which the issues are paid, and the designated purpose of the issue.

  • Debt Service Requirements. We generate the outstanding debt service schedule split by Governmental and Business-type activity. We group the maturities 6 years out and further in groups and 5 years to meet GFOA Certificate of Achievement standards.

Roll Forward Table

This table is the last tab of the excel export and shows the change in debt by issue over the fiscal year. Similar to the Debt Outstanding by Type this table is an issue by issue view organized by Governmental and Business-Type Components. The Columns show the Beginning Balance, Additions, Reductions Ending Balance, Current Portion Due and Long Term Portion Due.

Issues for which we may not have all the information or sums indicate a possible discrepancy are highlighted in yellow for further review.
